ICT Accessibility Procurement Process 2019_04_29.pdf

Requester selects a product and contacts the vendor.

Requester gathers information from the vendor:

  • Request a VPAT

For Hardware Requests:

  • Requester completes the ‘Section 508 Hardware Evaluation’ form
  • Requester asks vendor for roadmap to address accessibility issues identified in VPAT (if applicable)

For Software / SaaS Requests:

  • Requester requests demo, sample or trial version from vendor for manual accessibility testing
  • If software is available for testing, requestor conducts manual accessibility evaluation, checking against VPAT (if available) and completes WCAG 2.x A/AA Accessibility Checklist

Requester completes ICT Accessibility Procurement Request Form and sends to paict@ot.syr.edu with:

  • Provide:
    • WCAG form (software) or Section 508 (hardware) form
    • Vendor VPAT (if available)
    • Vendor Roadmap (if applicable / available)
      or
    • Exclusion request selected

Accessibility Assessment Committee (AAC) begins review with a two week turnaround time.

  • AAC provides response to requester: Approved, Conditionally Approved, Denied
  • If Approved or Conditionally Approved:
    • AAC shares findings with requester
    • Requester addresses findings and coordinates with all relevant parties
  • If request is denied, Requester:
    • Seeks a more accessible product and begins from the start of the Accessibility Procurement process, or
    • Seeks an exception from the Accessibility Compliance Committee (ACC), or
    • Accessibility procurement process ends

If Requester seeks an exception from the ACC:

  • Requester replies to Orange Tracker / AAC response email with a completed ACC Exception Request form attached (coming soon)

Accessibility Compliance Committee (ACC) begins review

  • If Exception Request is approved:
    • AAC shares findings with the requester, and
    • Requester addresses findings and coordinates with all relevant parties
    • If Exception Request is denied:
      • Requester seeks a more accessible product and begins from the start of the Accessibility Procurement process, or
      • Accessibility procurement process ends
